My library

The login to the My library service is protected against the misuse of personal data (SSL – Secure Sockets Layer). In order to use the browser without interruptions, install the certificate of the registration authority (SIGEN-CA). The installation instructions can be found at the following web address: http://www.sigen-ca.si/spletna/ca-cert-namestitev.php.


Loan, reservations and renewals

Once you log in to the "My library" service, the list of material registered in your account is displayed for the library that you are a member of and to which you logged into. The material is organized in three lists:

  • material on loan (material on outside loan)
  • reserved material (material that you reserved or is waiting for you in the library, etc.)
  • other material (material on reading room loan, lost material, etc.)

Depending on the services provided to the library members by the library, you can renew the loan period for material on loan, cancel a reservation, etc.

Reserving material

Once you confirm the selection for reservation and the login to the My library service is successful, the reservation is made (if there are no restrictions). If you already signed in to My library and select the check-box for remaining logged in for the current session in COBISS/OPAC before the search, then you only have to confirm the login. The data on the reserved item and a corresponding message are displayed:

  • for a reservation of available material: "The available material has been reserved. When the material is ready, we will notify you by e-mail." or "The available material has been reserved. The selected material will be waiting for you in the library until dd.mm.yyyy."
  • for a reservation of material that is not available: "You have reserved material that is currently not available. Once it becomes available, the library will notify you. The reservation is valid until dd.mm.yyyy." or "The material is reserved. Please, check when it becomes available. The reservation is valid until dd.mm.yyyy."

The reserved material is added to the list of reserved material, which you can view by clicking the OK button.

The reservation has not been successful

If the material can be reserved, but the reservation failed, the data on the selected item and a corresponding message will be displayed once you click the RESERVE button and logging in the My library service:

Note: If you already received the material and the reservation is no longer needed, cancel it via COBISS/OPAC as soon as possible or ask the library to remove reservations that are no longer needed.

Cancelling reservations

Cancelling reservations via COBISS/OPAC is possible only in libraries that provide this service to their members.

You can cancel a reservation for material:

  • that is currently on loan with another member (and you are on the waiting list)
  • that is being processed
  • that is already waiting for you in the library

To cancel a reservation, click the check-box in the "Reservation" column next to the material in the list of reserved material, and then click the CANCEL button. If you wish to cancel all reservations at once, click the button and then the CANCEL button.

If there is a question mark (?) in the "Reservation" column in the list of reserved material, then the reservation cannot be cancelled because the library restricted reservation cancellations based on the current loan status of the material. The tooltip provides the reason why the reservation cannot be cancelled. Once you click the CANCEL button the data on the item for which you cancelled the reservation is displayed with the message: "Reservation cancelled". The material is deleted from the list of reserved material.

To view the list of recorded material again, click the OK button.

Renewing loan periods

Renewing loan periods via COBISS/OPAC is possible only in libraries that provide this service to their members. The following criteria must also be met:

  • You have the library's permission for loan period renewals.
  • All outstanding debts to the library must be settled (membership fee, overdue notice, fine, etc.).
  • The material has no restrictions that make loan period renewals impossible.

To renew the loan period for an item, click the check-box in the "Renewal" column next to the material in the list of material on loan, and then click the RENEW button. If you wish to renew the loan period for all material on loan at once, click the button and then the RENEW button.

Once you click the RENEW button the data on the selected item is displayed with the message:

  • "Loan period renewed. New return date: dd.mm.yyyy."
  • "Loan period renewed. Renewed only until: dd.mm.yyyy." (if you cannot renew the total loan period, because the number of renewals is limited)

To view the list of recorded material again, click the OK button.

Loan period renewal not possible or renewal not successful

If there is a question mark (?) in the "Renewal" column next to the material in the list of material on loan, the loan period cannot be renewed. If you point your mouse on the question mark, a tooltip is displayed with the explanation why loan period renewal is not possible.

If you can select the check-box in the "Renewal" column in the list of selected material, but the renewal is not successful, the following message will be displayed with the data on the selected item after you click the RENEW button:

To view the list of recorded material again, click the OK button.

History of borrowed material

In the library that you signed in to, you can view the history of borrowed material by clicking the History of borrowed material link. A list of material is displayed that you put on outside loan or borrowed in the reading room or in circulation this year. By using the drop-down list, you can specify for which year the list will be displayed.

You can save the list by clicking the Excel button to an Excel-file in .csv format.

Interlibrary loan

You can submit interlibrary loan requests to the library to which you logged in to. You can also view all open orders (ordered material and material on loan) and closed orders (completed and incompleted orders). You can cancel open orders, or renew the loan period.

The costs of interlibrary loan are in compliance with the library's valid price list and are covered by the member who submits the interlibrary loan request. By clicking the Terms and conditions of ordering link you can view the conditions for interlibrary loan of the library you logged in to.

Ordering material

You can submit interlibrary loan requests via COBISS/OPAC if you have the library's permission and if you do not have any outstanding debt towards the library.

Firstly, find the record for the material you wish to order. You can search in the union bibliographic/catalogue database or the local database, the SwetScan database, OCLC's databases WorldCat, ArticleFirst or ERIC and in selected catalogues of other foreign libraries. Once you find the record, you can submit the order immediately. Click the INTERLIBRARY LOAN button below the selected record to open the My library window. Enter the name of the library/library department, place, acronym or library code of the library you are a member of. If several libraries match the entered term, a list opens from which you can select your library. Enter your membership card number and password and login. If you select the "Remain logged in for this session" check-box before logging in to the My library service, then you will stay logged in until the current session is closed or you log out of COBISS/OPAC. If login is successful, the order form will open with the data on the material from the selected record copied into the form.

If the record was not found ,log into the My library service, click the Order material link, select one of the following forms and enter as much data on the material as possible:

Loan

  • monograph (e.g. book, proceedings, CD, DVD, etc.)
  • serial (e.g. journal, newspaper, etc.)

Purchase of copies

  • component part in a monograph
  • article in a serial
  • standard
  • patent

If you create the request based on a found record, you can only choose between forms that correspond to the selected type of material (monograph or serial or component part in a monograph or serial; if the material is, e.g. a videorecording, there is no option of purchasing copies, etc.). In the Table of options of interlibrary loan and copying it is indicated for each type of material whether it is possible to send a request for loan or purchase of copies.

After having selected the appropriate form, enter:

  • data on the material
  • general data order
  • notification data

Data on the material

For monographs, you have to enter the title, for serials, the title and the year or volume.

For articles and component parts, you must also enter the title or author or page range (from–to). For standards and patents, you must enter the title or standard designation or the title or number of the patent.

If you create the order on the basis of a found record, the data on the material is already entered (it is copied from the record), and you only have to add additional information, if necessary.

General data order

You can enter the date, before which you wish to receive the material, and the amount you are willing to pay for the delivery of the material (if you allow ordering material from abroad; the delivery of material from Slovenian libraries is charged in accordance with the valid price list). You can also specify if you allow your library to order the material from abroad, and how you wish to collect the material.

Notification data

You can specify if you want the library to inform you about your order by post, telephone (mobile phone or landline) or by e-mail. You can additionally specify if you wish to receive an SMS message to let you know that the material has arrived or cannot be delivered. You can also enter a general note about the order.

Click the CONFIRM ILL REQUEST button to view all the data you entered in the form. If you wish to change anything, click the CHANGE DATA button, otherwise use the SEND ILL REQUEST button. A message will be displayed informing you that the order was sent, including your order number.

Before you confirm or send your order, you can also cancel it by clicking the CANCEL ILL REQUEST button.

You can check the status of the sent order in the list of ordered material under open orders.

Note: The library can limit ordering material by defining a number of open orders that cannot be exceeded in order to still be able to submit interlibrary loan requests via COBISS/OPAC. Once this number is exceede you can still order material in the library where it is up to the librarian to decide if a new interlibrary loan request will be accepted or denied.

Open orders

Open orders include ordered material and material on loan.

The list of ordered material contains orders for which you have not received the material yet. Each order on the list can be cancelled. In the "Ordering" column, select the check-box next to the order and click the CANCEL button (you can select several orders at once; click the button ; click the button to de-select all orders). You can only cancel orders that have one of the following statuses in the interlibrary loan process:

  • order received (the cancellation is effective immediately if the request was submitted via COBISS/OPAC; if not, the library must approve the cancellation)
  • order approved (the library must approve the cancellation)
  • ordered from supplier (the library must approve the cancellation)

Once you click the CANCEL button he data on the selected order is approved along with one of the following messages:

  • "Order cancelled." - if the request was submitted via COBISS/OPAC and the cancellation was effective immediately.
  • "Cancellation request waiting for approval." - if the cancellation must be approved by the library.

To view the open orders again, click the OK button.

Until your cancellation request has not been approved or denied, the note "waiting for approval" is displayed in the "Ordering" column in the list of ordered material. Once the cancellation is approved, the order is transferred to the list of uncompleted orders in the closed orders list. If the cancellation is denied, the note "request denied" is displayed in the "Ordering" column, and the order remains on the list of open orders.

The list of material on loan consists of orders related to the currently borrowed material on interlibrary loan. If the loan period for an item has not expired yet, you can request a loan period renewal. In the "Renew" column, select the check-box next to the copy and click the RENEW button (you can select several orders at once; click the button to select all items; click the button to de-select all items).

Once you click the RENEW button the data on the item for which you wish to renew the loan period is displayed along the message "Loan period renewal request waiting for approval". To view all open orders again, click the OK button.

Until your loan period renewal request has not been approved or denied, the note "waiting for approval" is displayed in the "Ordering" column in the list of ordered material. If the loan period renewal is denied, the note "request denied" is displayed in the "Ordering" column. If the loan period renewal request is approved, the loan period changes.

Closed orders

Closed orders include completed and uncompleted orders.

The list of uncompleted orders contains orders that you have cancelled, orders that have been denied by the librarian and orders that have not been completed for any reason. The reason for denial or incompletion can be found in the notes.

The list of completed orders contains orders for which you have received the material, and, in case you borrowed them, also returned them.

Debts and restrictions

The reason for not being able to renew a loan period or reserve material can be unsettled debts or any other restrictions that you can view after clicking the Debts and restrictions link:

  • List of unsettled debts

    These are your financial obligations towards the library that you have not paid yet. If the library enables settling debts by using Moneta, t he PAY WITH MONETA button will be displayed below the list of unsettled debts. If unsettled debts were the only reason you could not renew the loan period, reserve material or submit an interlibrary loan request, you can use these services again after successfully paying with Moneta.

  • Current fine

    If you borrowed material and its loan period is expired, the current overdue fee will be displayed (i.e. the amount you will have to pay once you return the material).

  • Special restrictions

    These are restrictions imposed by the library. For various reasons, some services within web COBISS/OPAC are unavailable to you. For example: because of the restriction "loan not possible" you cannot renew a loan period or reserve material. The restriction "lost membership card" is for information only and does not influence the use of the library's web services.

  • General restrictions

    These are restrictions imposed by the library with regards to their internal code of business:

    • maximum number of copies for outside loan
    • maximum number of copies for reading room
    • maximum number of reservations
    • maximum number of possible loan renewals per copy (e.g.: if the maximum number of renewals is 2, and the loan period and renewal period are one month, this means that the last return date is 3 months since the loan date, provided that you renew the loan period and that there are not any other restrictions)
  • Interlibrary loan restrictions

    The library can limit ordering material by defining a number of open orders that cannot be exceeded in order to still be able to submit interlibrary loan requests via COBISS/OPAC. Once this number is exceeded you can still order material in the library where it is up to the librarian to decide if a new interlibrary loan request will be accepted or denied.

Electronic notifications

Conditions

The library offers its library members the option of electronic notifications. You can choose among those types of notifications provided by the library, if the library already has your e-mail address or your mobile phone number.

Entering/changing your e-mail address

If the library has not got your e-mail address for notifications yet, you have to enter it before subscribing to electronic notifications. You can enter your e-mail address after clicking the Enter/change e-mail link, where you can also change it. In the message you will receive to your e-mail address, click the link to register your e-mail address for notification. A login window will open, where you can enter your identification data (membership card number and password).

Note: The link is valid only for 24 hours! If the link in the message is invalid, copy the URL to the browser title bar. In case of any problems with updating your e-mail address, please ask for help at your library.

Entering/changing your mobile phone number for SMS notifications

If the library has not got your mobile phone number yet, you have to enter it before subscribing to electronic notifications. You can enter your mobile phone number after clicking the Enter/change mobile phone number link, here you can also change it.

Note: You will receive selected SMS notifications to your mobile phone, but only if your mobile network operator provides commercial text messages via SMS and you have not cancelled this service with your operator.

Notification settings

You can choose among those types of notifications provided by the library.

Notification about reservation expiryThe library informs you that an expired reservation has been deleted.
Notification about availability of reserved materialThe library informs you that the material that was on loan while you reserved it is now available.
Notification about a forthcoming loan period expiry dateThe library informs you that the loan period for the material you have on loan is about to expire. How many days before you receive this notification depends on each library. The loan period can be renewed via COBISS/OPAC as long as the loan period has not expired yet.
Notification about forthcoming overdue noticeThe library informs you that the loan period has expired and that you will receive an overdue notice in the next few days if you do not return the material. How many days before you receive this notification depends on each library.
Notification about membership expiryThe library informs you that your membership is about to expire on a certain date. How many days before you receive this notification depends on each library.
General notificationsThe library sends various business related notifications (e.g. opening times, exhibitions, etc.)

Changing your password

You can change the password given to you by your library. Make sure that your password is not too short and that it does not contain any fricatives or any other special characters. If you forget your password, contact the library to request a new one by clicking the Forgotten password link in the My library login window.
